Start-ups want to grow - and their structures grow with them. This also and especially applies to accounting and controlling. The Munich-based company aboutwater relies on Diamant Software - and benefits from more possibilities and speed.
The passion of aboutwater is water: from fresh water from high-quality table water systems, pleasantly cooled water from water coolers, to filters for safe drinking water on the move. The water experts started out at the beginning of 2018, and the founding duo has now grown into a ten-member team. The online shop aboutwater24 has been joined by "stationary products" (such as table water systems) and the coffee specialist Avendi. Besides water and coffee, there is a third passion: growth. Be it new products, further brands or even companies. There the thirst is certainly not yet quenched. And this is also where the desire for an own accounting system including accounting software arises.
Growing possibilities for process and structure optimisation
Like many start-ups, the Munich-based company initially relied on a tax consultant. A finite solution - especially with regard to the large number of bookings, more extensive requirements for daily reports and expansion options. It was therefore necessary to create a future-proof structure in accounting. This is where success or failure in the company is decided. A key step in this process was the creation of a separate accounting manager: René Kühn has been on board for around a year. His daily business is accounting. His challenge is to optimise structures and processes - including:

Minimising risks in a modular way
These requirements were also the main criteria for the software selection. A modular solution was required for this: This would allow fast-growing companies to set up professional accounting systems at an early stage without becoming financially overburdened or having to incur high internal costs. The modular structure was an important decision criterion - for Diamant/2020 from Diamant Software.
From digital invoice receipt to paperless office
The digital invoice receipt is a "must have" for an online shop. In connection with Diamant 2020, aboutwater has started with an electronic invoice receipt book. The big advantage: "With the approval app, we can now approve invoices from home or from anywhere and are no longer tied to the office", explains René Kühn, head of accounting, while he already has the next expansion stage firmly in his sights: "Revision-proof storage in the cloud will be a milestone for us on the way to the paperless office". In concrete terms, the documents are stored in a certified German data centre and kept for the legally required retention period.
Smooth integration
The integration of the merchandise management system into the accounting software functions smoothly. The journey continues here as well: with the direct connection of the online shop to all major e-payment providers. Diamant/2020 already has standard interfaces to all major providers - such as PayPal for credit card payments and instant bank transfers or Klarna for purchase on account. Further payment services can be integrated easily and quickly.
Last but not least: The reporting system now offers monthly evaluations at the push of a button and thus considerably more transparency for corporate management.

When deciding on Diamant/2020 as the new accounting and controlling software, the innovative start-up ultimately opted for "proven": "I have almost always worked with Diamant Software - for 14 years. Then I simply know what the solution can do and above all that it works," summarises René Kühn. He has now been working with the latest Diamant release at aboutwater for a good six months. What has improved since then? "Diamond runs very strongly. I can work much more effectively and faster and save a lot of time before". The best example is the daily work in automatic payment transactions: instead of two hours, it is now completed in five minutes.
